2025 Teddy Bear Fair Department and Organization Registration

We are so excited to host the 2025 Teddy Bear Fair at CAMC Women and Children's Hospital in collaboration with Aetna Better Health of West Virginia

This year's fair will take place on May 10th, from 10am - 1pm. A rain date has been selected for May 17th. The event will take place in the CAMC Women and Children's MSOB parking lot. We ask that all departments and organizations arrive between 8:30-9:00am to begin set up.

This form has been created for organizations to register for their table at the Teddy Bear Fair. Please list all needed information below in the form to complete your registration for the 2025 Teddy Bear Fair. This form will allow CAMC and Aetna to better prepare for your arrival at the fair. Registration is free.

Day of Event Information for the Teddy Bear Fair

To better prepare for your arrival at the fair, please fill out the following information regarding setup and activities.

How many tables do you need at your space?
The committee will provide one table for each group. If you will need more than 1 table, please provide the number needed and how the extra tables will be used (this is needed for the location of your display on the parking lot). The committee will also provide two chairs for your space.

Are you able to bring your own pop up tent to the event?
We encourage all groups to bring their own pop-up tent if possible.

I understand that more information about setting up, parking and day of event procedures will be provided TWO weeks prior to the event.

I agree to have at least one adult present to represent my organization at the Teddy Bear Fair for the entirety of the event. I also agree that my organization will participate for the entirety of the event.

CAMC and the Teddy Bear Fair committee will monitor the local weather conditions the week of the event in an effort to protect our patients, staff and visitors. Information will be sent to the contact information provided above regarding any event updates regarding weather conditions and will be distributed on our CAMC social media.

In the event that the Teddy Bear Fair is postponed, I understand that the rain date is set for May 17th from 10:00AM - 1:00PM

We ask that if you do register for the event that every effort is made to attend. We understand that emergencies can happen.

However, in the event that a department or organization must cancel their attendance at the 2024 Teddy Bear Fair, we ask that they promptly notify the event planners via email WCHTeddyBearFair@vandaliahealth.org to let them know of the department or organization absence.
